Job Description:
1) Updating the Partner’s diary including:
a. Update Partner’s appointment & meeting into the diary;
b. Sending reminders/updates to the Partner; and
c. Sending reminders/updates to and coordinating with the Partner’s driver.

2) Updating the main diary including:
a. Keying in all the Internal Deadline (IDLN) & Actual Deadline (ADLN) into the diary; and
b. Sending out reminders to the associate, paralegal, pupil, and intern on a daily basis.

3) Updating Court diary including:
a. Obtaining information and keying in the Court dates and deadlines;
b. Ensuring that Court diary tallies with Memo (CoreMatter) and Google Calender; and
c. Sending out reminders to the associate, paralegal, pupil, and intern on a daily basis.

4) Creating new client and new matter into CoreMatter.

5) Saving all email correspondences and documents into respective online folders and making sure that all the hard copy tallies with the soft copy.

6) Printing, filing, scanning, photocopying, and binding.

7) Drafting emails and letters, and making arrangements for faxing, mailing, courier and dispatch.

8) Preparing minute meetings for team and firm’s SOP meetings.

9) Answering incoming calls/messages and passing the calls/messages to the relevant persons.

10) Liaising with clients and Finance Department on payments including billings/ disbursements/ claims/ remittance advice/ generating invoices.

11) Preparing the Partner’s and staff’s claim (To send to finance department & update into spreadsheet).

12) Liaising with IT Department regarding OneDrive, Microsoft Teams, Printer Machine, and etc.

13) Ensuring office functionality including pantry, printer (ink cartridge, toner, and paper), projector, and sound systems (for virtual conference or Court meetings).

14) Liaising with other team members/ departments for interview arrangement, offer letter and staff issues.

15) Ensuring that the Partner’s room is clean and ready (prepare mineral water, open the window for air circulation, and etc).

16) Handle all bookings for the Partner (restaurant, travel, and etc).

17) Other administrative work/tasks as assigned by superiors on an ad hoc basis.


Qualifications and Requirements:
Requirements:
1) Candidate must possess or currently pursuing a degree or equivalent.

2) Have 2 years of work experience. Previous work experience in a law firm’s litigation department and knowledge of e-filing system, CoreMatter system, SSM search, Bankruptcy search and etc will be an advantage.

3) Proficient in English and Bahasa Melayu, written and spoken.

4) Computer literate (MS Word & Excel).

5) Simple mathematical skills.

6) Possesses a positive attitude and a willingness/commitment to learn.

7) Proactive and able to work independently.

8) Responsible, diligent, organised, meticulous, punctual, and trustworthy.

9) Applicants who are able to start immediately or soon will have an added advantage.
