Job Description:
Legal Associate
• To assist in litigation and corporate advisory files
• Handling and managing tasks/assignments – collating, reviewing and analysing contracts/documents, drafting of agreements, letters of demand, general letters, drafting of cause papers pertaining to litigation, research, attending court, attending meetings, handling clients, assisting/conducting hearings, full trial, appeals, other related work
• Managing & administering multiple files, corresponding with clients, preparing status reports and attending to the needful to ensure that the files are duly monitored & in order at all times
• Contribution to the firm’s business development
• Assist in other general tasks/assignments as assigned by the firm

Legal/Litigation Secretary cum Admin Executive

1. Admin Executive:
i. Front Desk Duties - Manage reception duties, including answering phone calls, greeting clients, and handling inquiries professionally.

ii. Manage, screen and prioritize incoming emails, calls, and correspondence and responding/replying with utmost professionalism and discretion where necessary and/or appropriate.

iii. Correspondence – To draft and prepare letters, memos, reports, and other documents.

iv. Scheduling & Calendar Management – assisting in the management of calendars/diary, scheduling of meetings, appointments, conference calls, and Business Development networking related events for lawyers and staff.

v. Office Management - To manage office equipment, ensuring office supplies are stocked, and maintaining a clean and organized workspace.

vi. Vendor & Supplier Coordination - placing orders for office supplies and ensuring timely deliveries.

vii. Data Entry & Record Keeping (CMS) including preparing monthly expenses and petty cash reports, income revenue and outstanding billing reports (generated from CoreMatter), and processing of claims and reimbursements for lawyers.

viii. Basic Financial Tasks - processing invoices, tracking expenses, and handling petty cash.

ix. Documentation & Filing – maintenance and organization of documents, in both physical and electronic form.

x. Assist with onboarding (and training where necessary) of new staff, interns, paralegals, etc.

xi. Ad Hoc Support to Management

xii. Confidentiality Obligation & Compliance – To handle sensitive and confidential information with discretion and professionalism as well as adhere to ethical standards and maintain a high level of integrity.


2. Legal/Litigation Secretary:

i. Document Preparation & Management – To assist in preparing and formatting legal documents such as pleadings, motions, affidavits, and contracts.

ii. Case File Management – To organize and manage case files, maintain documentation, and track important deadlines (internally and externally) including but not limited to court dates and drafting/pleading dates, wherein includes the responsibility of ensuring all relevant materials are readily accessible for the lawyers and team.

iii. Correspondence – To handle legal communication on behalf of lawyers such as drafting and editing correspondence, emails, and letters to clients, opposing counsel, and court personnel(s).

iv. Scheduling & Calendar Management - To manage lawyers' calendars/diary including managing scheduling, scheduling appointments, meetings, conferences, court appearances, and Business Development networking related events.

v. Take dictation and minutes including preparing high-quality reports, presentations, and other documents (where necessary), ensuring accuracy and attention to detail.

vi. Court/Land Office Filing – To assist in preparing and filing court/land office documents, ensuring strict compliance to the rules and regulations.

vii. Billing & Financial Tasks – Responsible with billing and invoicing processes, tracking billable hours, outstanding invoices, and preparing invoices for clients.

viii. Preparing monthly income revenue, billing and collection reports (generated from CoreMatter).

ix. Manage travel arrangement for lawyers in relation to work, meetings, and Business Development related events.

x. Confidentiality Obligation & Compliance – To handle sensitive and confidential information with discretion and professionalism as well as adhere to ethical standards and maintain a high level of integrity.



Qualifications and Requirements:
Requirements for Legal Associate:
• 2-5 years post qualification experience in civil/corporate/commercial litigation
• Must be able to work independently with minimum supervision and as a team
• Ability to work under pressure
• Ability to meet collection targets set
• Good command of the English and Malay (emphasis) languages, written and spoken
• Proficient and tech savvy in Microsoft office programs including Outlook, Word, Teams, Zoom, Google meet, platform, and Whatsapp
• Good research, drafting and opinion writing skills
• Orderly/consistent organisational, time management skills
• Eye for detail
• Ability to multitask and prioritize daily workload
• Continuous learner, willing to reskill and upskill
• High sense of accountability

Salary (Legal Associate) - RM4,500.00 - RM6,000.00

Requirements for Legal/Litigation Secretary cum Admin Executive:
• Possess a Diploma or Bachelor's Degree in Business Administration, Office Management, or a related field.
• Minimum 1-2 years of experience in an administrative role, preferably within a law firm
• Must be able to work independently with minimum supervision and as a team
• Ability to work under pressure
• Good command of the English and Malay (emphasis) languages, written and spoken
• Proficient and tech savvy in Microsoft office programs including Outlook, Word, Excel, Teams, Zoom, Google meet platform, and Whatsapp
• Orderly/consistent organisational, time management skills
• Eye for detail & Ability to multitask and prioritize daily workload
• Continuous learner, willing to reskill and upskill
• High sense of accountability

Salary (Legal/Litigation Secretary cum Admin Executive) – RM3,500.00 – RM4,000.00 (subject to experience and qualifications)
